An AI email assistant that drafts, sorts, and asks before it sends
crew bot's AI email assistant reads and sorts your Gmail, drafts the replies that need you, files receipts, and sends nothing until you say so.
Free to start, no card needed.
It's seven in the morning and you haven't opened your laptop. The brief is already on your phone: three emails need you, and the replies are drafted. The rest are handled: receipts filed, newsletters you never read unsubscribed, notifications marked read. Nothing has been sent. That's crew bot's AI email assistant: it works your Gmail the way a good assistant would, and it asks before anything leaves your outbox.
What the AI email assistant does
- Reads and sorts your Gmail, so what needs you is on top.
- Drafts the replies that need you, ready for you to read, change or send.
- Files receipts and statements.
- Unsubscribes you from the noise, with your OK.
- Marks notifications as read.
- Sends you a morning brief on a schedule you choose, for example weekdays at 07:00, to Telegram.
- Checks with you before it sends.
A morning with the inbox
This is what a morning brief looks like:
| Needs you: 3 drafts ready | |
|---|---|
| A customer | Wants a quote for a bulk order. Draft reply ready. |
| Your supplier | New price list from 1 November, 4% up on oil. Draft ready. |
| Your accountant | Needs the VAT documents by Friday. Draft ready. |
Handled: 23. Filed 6 receipts and 2 statements, unsubscribed you from 4 newsletters, and marked 11 notifications as read.
Then you choose: Send the 3 drafts, or Review first. Nothing is sent until you say so.
It asks before it sends
Sending an email or unsubscribing needs your approval in crew bot. The request comes to your phone with buttons, or you can answer the Lead on Telegram. If there's a kind of email you're happy for it to send without asking, you can tell it to go ahead.
Around that:
- It remembers how you like things done, so you explain a preference once.
- Every job has a budget, 50 US cents by default. If a job needs more, it stops and asks.
- Every step is on record. Each job keeps what it read, clicked, ran and found, so you can check its work.
Why an assistant that asks first is worth more than one that doesn't: human-in-the-loop AI. And because an inbox is full of strangers' words, some written to trick an AI, read prompt injection, and how to stay safe.
Email inside bigger jobs
The inbox isn't only a bot of its own; the rest of the crew uses email to finish their work.
- Chasing unpaid invoices. A routine every Monday morning finds the overdue invoices, writes each client a reminder with the invoice attached, and sends them once you approve.
- Reading what matters. A routine every evening at 7 reads the day's email from LinkedIn and reports what's worth acting on.
- Your calendar, too. Connect Google Calendar and the crew can check your availability and upcoming events. Creating a meeting, inviting people or adding a Meet link needs your approval.
What it can see, and what it keeps
When you connect Gmail, crew bot asks Google for permission to read, organise and send email on your behalf (the gmail.modify and gmail.send permissions), and for your email address. By Google's own definition, gmail.modify doesn't allow mail to be deleted permanently past the trash.
- No copy of your mailbox. crew bot keeps an encrypted token, not your mail. Messages are fetched from Google when a job you started or scheduled needs them.
- Used only for what you asked: search, read, summarise, draft, send, mark as read or unsubscribe.
- Not for training or ads. To do a job, the relevant email may be sent to the AI model provider your workspace uses. It isn't used for advertising, sold, or used by crew bot to train AI models.
- People don't read it, except where you ask crew bot to for support, it's needed for security, or the law requires it.
- Disconnect any time from Apps in crew bot, which deletes the stored token, or remove crew bot's access in your Google Account settings.
What it works with
Gmail, connected through Google's own permission screen, and Google Calendar if you connect it as well.
Pricing
Email is on every crew bot plan, Free included, and so are routines and approvals on your phone. Paid plans give the crew more AI to work with: $19, $49 and $149 a month per workspace. See pricing.
FAQ
Will the AI email assistant send emails without me?
No. Sending an email or unsubscribing needs your approval in crew bot, unless you've told it to go ahead for that kind of email. Drafts wait for you until you send them or say yes.
Does crew bot keep a copy of my mailbox?
No. It keeps an encrypted token to reach Gmail, and fetches messages from Google only when a job you started or scheduled needs them.
Is my email used to train AI?
No. crew bot doesn't use your email to train AI models, sell it, or use it for advertising. The relevant parts may be sent to the AI model provider your workspace uses, only to do the job you asked for.
Can it delete my emails?
Deleting isn't among the things it does with your email: search, read, summarise, draft, send, mark as read and unsubscribe. And the Gmail permission it holds can't delete mail permanently past the trash.
How do I disconnect it?
Disconnect Gmail from Apps in crew bot, which deletes the stored token, or remove crew bot's access in your Google Account settings.
